You are registering for the 2nd International Workshop on XR for Challenging Environments (XR4CE 2026), a satellite event of EuroXR 2026 and the VWP Annual Forum 2026, which takes place on 3 November 2026 in Valencia, Spain. The workshop is organised by the AIT Austrian Institute of Technology GmbH and the Hochschule Hamm-Lippstadt together with further academic partners. Registration and payment are handled via XRwise gUG (haftungsbeschränkt).
Before you submit your registration, please read the following information carefully. Please do not hesitate to contact us with any questions regarding the processing of your personal data.
This information applies to the processing of personal data in connection with the registration for, the payment of the participation fee for, and the organisation of the XR4CE 2026 workshop. It does not apply to the submission and review of papers via EasyChair, for which the privacy information of EasyChair and the consent given there apply.
Your registration is voluntary. However, the data marked as mandatory in the registration form is required to complete your registration.
The following three organisations process your personal data. Each of them is an independent controller within the meaning of Art. 4(7) GDPR for the processing activities described below.

The disclosure of your registration data by XRwise to AIT and HSHL for the purpose of organising the workshop is necessary for the performance of your participation contract (Art. 6(1)(b) GDPR).
The following data is collected from you:
Payment details such as card or bank account numbers are processed exclusively by XRwise and its payment service providers. AIT and HSHL do not receive them. This is confirmed by XRwise. The official payment service provider is FINOM Payments B.V. Zweigniederlassung Deutschland.
XRwise collects your data via the registration form and discloses the registration data necessary for the organisation of the workshop to AIT and HSHL.
The venue and catering providers receive only the information strictly necessary for the event, in particular the number of participants and, where required, dietary or accessibility needs without further personal details.
XRwise confirms that any payment service providers engaged by XRwise receive the data necessary to process your payment.
Your data is not sold and is not used for third-party advertising.
XRwise hosts the data exclusively within the European Union. There is no transfer of your personal data to countries outside the European Economic Area. XRwise confirms that this also applies to all payment service providers and other processors engaged by XRwise.
Registration and organisational data is stored until the workshop and its follow-up have been completed, but for no longer than 12 months after 3 November 2026.
Billing and payment records are stored for the periods prescribed by commercial and tax law. XRwise retains invoices and payment records required for tax and accounting purposes for the applicable statutory retention periods, generally eight years from the end of the calendar year in which the relevant record was created. Records are deleted once these periods and any legally required extensions have expired, unless continued retention is necessary for the establishment, exercise or defence of legal claims.
Additional working copies used solely to administer workshop payments are deleted within 30 days after the workshop has ended and all related payments and refunds have been completed.
Payment data processed by FINOM Payments B.V. Zweigniederlassung Deutschland is subject to their own statutory retention obligations and applicable privacy notices. Our 30-day deletion period does not apply to records they must retain independently.
This is applicable for XRwise gUG and HSHL.
Dietary and accessibility information is deleted after the event.
XRwise, AIT and HSHL do not make decisions based solely on automated processing which produce legal effects concerning you or similarly significantly affect you.

You may withdraw any consent given at any time and without consequences by sending a message to the contact address below. The withdrawal does not affect the lawfulness of the processing carried out until the time of withdrawal.

You are not obliged to provide your data. The provision is voluntary. Without the data marked as mandatory in the registration form, however, your registration cannot be completed.
